Expense Mate ("we", "us") operates TaxEZ and is the data controller for personal information collected through the Service. We comply with the New Zealand Privacy Act 2020.
What we collect
- Account data: name, email, hashed password.
- Business data you enter: income, expenses, mileage, invoices, clients, vehicles, receipts.
- Support and communications: messages you send us.
- Usage and device data: IP address, browser, pages visited, timestamps.
- Payment data: handled directly by our payment provider Paddle — we do not see or store your card details.
Why we use it
- Provide and operate the Service (contract performance).
- Generate AI receipt extractions and tax insights (contract performance).
- Provide customer support (legitimate interest).
- Detect, prevent, and respond to fraud or abuse (legitimate interest).
- Comply with tax, accounting, and other legal obligations.
Who we share data with
- Service providers / subprocessors: hosting (Supabase / Cloudflare), AI providers (Google, OpenAI) for receipt scanning and assistant features.
- Paddle.com, our Merchant of Record, for subscription billing, payments, tax compliance, and invoicing.
- Professional advisers (legal, accounting) where necessary.
- Authorities where required by law.
We do not sell your personal information.
Receipts and AI
Receipt images you upload are sent to the AI provider only for the purpose of extracting vendor, amount, date, and category. They are not used to train third-party models. We store the extracted data and the original image in your account.
Retention
We keep your business data for as long as your account is active. If you delete your account, we delete your personal data within 30 days unless we're required to retain it for legal or accounting purposes.
Security
We use industry-standard technical and organisational measures: encrypted transport (HTTPS), encryption at rest, row-level access controls so users can only access their own data, and least-privilege service credentials.
Your rights
Under the New Zealand Privacy Act 2020 you can: access the personal information we hold about you, request correction of inaccurate information, and complain to the Office of the Privacy Commissioner. To exercise any of these rights, contact us through the app.
